Sports Express FAQ’S
What are the cost for Sports Express attendees (CVB, DMO, Supplier, Etc.)?
Attendees pay one flat fee that includes conference registration, suite accommodations (4 nights), all event meals, airport & event transportation, guaranteed appointments, exclusive event receptions & activities with rights holders. Cost for the Primary Company attendee is $TBA for the standard 4-night program. Second Company attendee (staff from the same Company) may also attend and receive the same inclusions (sharing appointments – as there is only one set of appointments per Company). Are vendors welcome?
Yes, vendors (including major hotels, airlines, transportation companies, national restaurant chains, etc.) that are connected to the sports market are encouraged and welcomed. As attendee’s you will follow the same agenda & event inclusions at the same noted program costs. Can I bring a guest?
Any attendee can bring a guest. Guest costs are $TBA for the stand 4-night program. Guest registrations includes hotel (staying with either primary or secondary attendee in same room), all noted meals and most activities with attendees (no appointments included). Are there additional hotel options?
Sports Express utilizes one host program hotel. There are no additional hotel options available. All attendee program registration fees include accommodations at the selected hotel. If you are interested in more nights please let us know.
Will ground transportation be provided?
All attendee program registration fees include round trip airport/hotel/airport
shuttle service if arriving/departing within the stated hours of shuttle operation
on Monday and Friday. We reserve the right to combine individual guests
arriving within a 1.5 hour window of each other on the same shuttle. For guests
wishing to drive their own vehicle, the hotel parking fee is discounts for our
attendees.
Can I extend my stay?
Yes, if you let us know upon registration that you would like to
either come in early or stay after the even for personal or other business
reasons, we can add additional nights at our discounted rate, based on
availability at time of request. For guests that add nights at the hotel at the
beginning and/or end of your trip, round trip airport/hotel transportation will
be on your own.
Do I book my own flight?
CVB, Suppliers and vendors: Yes, you are responsible for making your own flight arrangements as this is not part of the program package. Once you have booked your flight, please send a copy of your flight itinerary so we can include you in the complimentary ground transfers schedule.
What is the Community Service Project?
Attendees will be transported to a TBD location for a half-day community
service project. There is no specific location or tasks laid out yet and will
be on your final itinerary. This will be an outdoor activity, of light
activity. Transportation will be
provided.
What is the Payment Cancellation Policy?
Conference registrations are considered confirmed when deposit is made to Sports Express. The cancellation period is between registration date and TBA (45 days out) and is subject to a $500 cancellation & administrative fee per person cancelled. Please note that Conference registrations are fully transferable to other representatives of your organizations up to 5 business days prior to the conference date.
Final balance of conference fees for all attendees must be paid in full no later than TBA. After this date, there are no refunds for no shows, early departures or cancellations and not transferable to any future event. Attendance will be denied if full payment or an approved transfer is not received 5 days prior to the time of the event.
